Payments & Bookings
 

Payment of a non-refundable 50% deposit will secure your booking.  The deposit will be deducted off the final amount which will be payable no later than 14-days prior to the photo-shoot.  Bookings made on short notice (within 14-days of the shoot date) are required to be paid upfront in full.

Copyright & Privacy


Your privacy is important to me. However, although you will keep the digital negatives, I own the copyright on every image and may use the photographs for advertising my services and promoting myself on my website, blog, or other wedding/photographic websites, magazines and in photography competitions. 

NB:  
If you DO NOT wish for your photographs to be used in any of the above - kindly write or speak to me in person and I will be sure to keep all your files strictly confidential. This is particularly appropriate for Boudoir, other intimate, couple, or family photographs.

Please credit “Ken Treloar Photography” with any images published on social channels such as Facebook, Instagram, and Twitter, or placed in magazines, blogs, or entered into any competitions - thank you in advance.

Suppliers
 

Please do not give suppliers/venues/third-parties copies of the images. If it is necessary, I can ensure that all third parties involved will receive a DVD or USB-stick of a selection of the images for their own use on their websites, or for other promotional purposes. This ensures they receive the right images, in the right dimensions, for the correct application or purpose. 


Indemnity
 

Ken Treloar Photography warrants that every effort will be taken to provide high-quality photographic services. In the event of illness, accident or any other event disabling the photographer from fulfilling his obligations, the photographer is willing to provide/arrange for a replacement.

Both Ken Treloar and the client agree that the photographer is not responsible for damages, emotional or otherwise.

Backup equipment is provided at every shoot. Additionally, although every effort is taken to creatively capture key moments of your shoot as per requirements, these moments can never be guaranteed (For eg. On occasion using a flash in a certain building may be forbidden, or taking photos during certain parts of the meeting/ceremony/event).

Ken Treloar Photography will take the utmost care with regard to transportation, downloading and backing up of all memory cards. 

In the extremely unlikely event of damage, loss or theft to the photos/memory cards, Ken Treloar Photography will refund all payments received. In the event of only a percentage of photos being unretrievable or lost, the limit liability for a partial loss of originals shall be a prorated amount based on the percentage of originals lost.


Travel & Accommodation
 

One night of accommodation is required if your photo-shoot is more than 1-hour from Cape Town (+- 100km). And two nights of accommodation are required if your photo-shoot is more than 2-hours away from Cape Town. I will organise my own accommodation at or nearby the shoot location/venue, and at a rate of R1000 per night. 

Travel to and from my studio is charged at a rate of R3.00 per km, but this is waived if the photo-shoot is within a 25km radius of my studio.
 
For weddings only: Travel within 100km of your photo-shoot is included in your booking invoice.
Thereafter, the R3.00 per km surcharge applies.  

I undertake to allow plenty of time to arrive at the event or shoot location earlier than due. However, please keep in mind that I am not responsible for incidents on the road or at airports that may cause delays or unforeseen cancellations, thus causing late arrival. This being said, I will always do my utmost to arrive not only on time, but earlier than required.


General
 

Please allow 24-48 hours for post-production of photographs (general photoshoots of 1-2 hours).
And 4-8 weeks for wedding shoots, or multi-day events and travel/destination shoots.

Kindly understand that as your shoot extends past 3 hours or about 100 photographs, that the processing time can increase exponentially. I also really appreciate your patience while I sort-through, edit, catalogue, process, and deliver all your photographs. Part of the art of taking photographs lies in editing them (just like we used to do in the darkroom) and although I will try my best to get your final images delivered to you in a timely fashion, I will not compromise on edit quality by rushing through my work. Thank you so much for understanding!

In the case fo digital images, the final product/shots can either be mailed to you via a secure download link (preferable) or collected from my studio on USB hard-drive.  In the case of 35mm film prints, the final product/batch of photographs are to be collected from my studio.

If you require delivery and/or courier services it is at an extra cost.  If the delivery address is not too far from my studio, Ken Treloar Photography may choose to waive this extra cost, and this option is at the sole discretion of the photographer.

Having the photos on downloaded onto your laptop or PC, or received via USB-stick means you can print copies for your family and friends. In order to keep control over the quality of the reprints, I would recommend using a professional lab,
rather than a high street lab, or simply at home. I will be happy to recommend a photo-lab on request. 

Once you have taken delivery of your photographs it will be your responsibility to make back-up copies for safekeeping, as I will only keep a copy on my system for up to a maximum of 3-months due to the high volume of photo-shoots and overall quantity of images.


Weather
 

In the event of challenging or inclement weather conditions such as heavy/torrential rain or wind, I will do my best to work with an indoor alternative or another location option. Where this is not possible, I will shoot in whatever weather is required, and to the best of my ability.
Where my safety or that of my equipment is concerned, I will, however, decline to start or continue with the shoot - but this will always be discussed with you in person.


Assistance

I will occasionally work with an assistant, depending on the size of the event or for intricate/complicated shoots and challenging locations. If an assistant does come along, please reserve a place for each of us at the event/venue. Once again, I will let you know if/when I will bring an assistant along.
